Grid plans - common questions and support

We've pulled together answers to some common questions around grid plans to help you get event ready in no time.

What is a grid plan?

A grid plan is a 2D drawing which clearly displays the positioning of ordered items within your stand.

Good to know: we can accept most standard file types including PDF, JPEG, PNG and .doc. That means you can draw your grid plan and take a photo or scan it, use a digital drawing tool, or make use of one of our templates.

Which services need a grid plan to be submitted?

Typically, if you’ve purchased graphics, electrics (including light fittings, electrical mains position and plug sockets) or stand extra (shelves, doors, electrical mains position and storage areas etc.) items from GES you’ll need to submit a grid plan.

If you’ve purchased multiple floor coverings, or wish to only have a certain part of your stand covered with a floor covering, you will also need to supply a grid plan to indicate the correct positioning.

Good to know: a grid plan is a requirement for every order or shell package and must be submitted directly to GES.

Where can you find a grid plan form?

You can find a grid plan form (sometimes referred to as a stand layout plan) in a few places:

1. A grid plan form is always available on the second page of each product’s order form. Order forms can be accessed from the exhibitor manual or can be provided by contacting us directly.

2. Grid plan templates are available on each event’s unique Expresso page – you can follow the online ordering link in any GES Stand Support email to go straight to your event’s page or visit ordering.ges.com and find your event in the dropdown menu.

Good to know: our grid plan templates are available to make ordering easier for you however a simple 2D drawing from a birds-eye view is sufficient – whether that’s drawn on a piece of paper and scanned in or drawn using an online tool.

How can you send your form to GES?

It's important that grid plans are submitted as early as possible to avoid on-site delays. Plans need to be submitted digitally and we can accept most standard file types including PDF, JPEG, PNG and .doc.

Your grid plan needs to be sent to the event-specific GES email address (this will follow the format of ‘eventname’@ges.com). The event email address can be found:

• in any of the GES Stand Support emails you’ve received
• in the exhibitor manual
• on the event service order forms

Good to know: the GES team are unable to accept any verbal instructions so always include everything on your grid plan.

Important details to include on your grid form

1. Mark the open and closed sides of your stand.
In order to understand the correct positions on your grid plan we need to understand the orientation of your stand. The best way to achieve this is to mark the open and closed sides of your stand. A dotted line can be used to represent an open side and a solid line can be used to represent a closed side.

2. Height where appropriate.
To make sure your items are installed and ready for you to use it’s important to supply all instructions on your grid plan – including the height of items like shelving and electrical sockets.

3. Symbols and labels.
Use different symbols for each item and clearly label these symbols for any ordered items (and if applicable - any items included in your stand package)

4. Raised platforms.
Include details on whether your stand will have a raised platform and the height.

Good to know: if you’ve ordered multiple items and services from us you only need to submit one grid plan – just make sure you include all of these items on the plan you submit to us.

Ordered GES services through a third party?

If a third party has already ordered GES products or services and submitted the appropriate grid plan documentation on your behalf your order will be processed as planned.

If you’re not sure a grid plan has been submitted it’s worth checking in with your contractor to avoid any unexpected on-site issues.

Good to know: changes on-site can cause delays and sometimes incur additional costs so make sure your order is placed with us and the items ordered match the items shown on your grid plan.

Why do you need to submit a grid plan?

We ask for a grid plan for a few important reasons:

  1. to ensure we install ordered items in the correct location on your stand so it’s ready for you when you arrive
  2. to ensure the safety of the stand build

Good to know: installation is included in the price you pay. Submitting your grid plan ahead of build ensures you get the best value from this service and that your stand will be ready to add those final touches when you arrive.

What happens if you don’t send in a grid plan?

We are unable to install items without knowing their exact location. If a grid plan is not submitted ahead of build, this may cause a delay in your stand building, items being installed in the wrong place, unnecessary damage to your wall graphics, or even extra charges.
